Privacy Policy
This policy explains what FitterBill collects, why, who we share it with, and the control you keep over it. Plain English, no small print.
01Who we are
FitterBill is an invoicing service for fitters and installation firms in the United Kingdom, operated by ALD Installations Ltd ("we", "us"). We are the data controller for the information described in this policy.
If you have any question about this policy or your data, contact us at hello@fitterbill.co.uk.
02What we collect
We collect only what the service needs to work:
- Account details: your email address, company or trading name, and an encrypted password (we never see your password in readable form).
- Business details you enter: company address, company number, VAT number and status, bank details shown on your invoices, and your logo.
- Operational data you create: your rate bands, your clients, the jobs you dispatch, hours worked, and the invoices you generate.
- Photos you upload: an existing invoice or a week of handwritten notes, used only to read the details and fill in your forms.
- Technical data: the IP address used at signup (a light anti-abuse measure) and basic security logs.
03Why we use it
We use your data to run the service you signed up for: to authenticate you, to calculate and produce your invoices, to keep your invoice numbering sequential, and to support you if something goes wrong.
We do not sell your data. We do not use your data for advertising. We do not build profiles about you.
04Who processes it with us
We rely on a small number of trusted providers, each acting on our instructions:
- Supabase, for the database, authentication and file storage (hosted in the EU).
- Vercel, for hosting the application.
- OpenAI, only when you choose to upload a photo, in order to read it and return the details. Photos are sent for that purpose alone.
- Resend, for sending service emails such as sign up confirmation.
- Stripe, for subscription payments. We never see or store your full card details.
05Keeping your data separate
Every account is isolated at database level. Your clients, rates, jobs, invoices and files are visible to your account only. Invoice PDFs and logos are stored in private buckets and can only be downloaded through a short-lived signed link generated for your session.
06How long we keep it
We keep your account data for as long as your account is active. If you close your account, we delete your data within 30 days, except where we are required to keep records for legal or accounting reasons.
You can ask us to delete your data at any time.
07Your rights
Under UK GDPR you have the right to access your data, to correct it, to have it deleted, to restrict or object to how we use it, and to receive a copy in a portable format.
To exercise any of these, write to hello@fitterbill.co.uk and we will respond within one month. If you are not satisfied, you can complain to the Information Commissioner's Office (ico.org.uk).
08Cookies
We use only the cookies the service needs: one to keep you signed in, and one to remember a referral code if you arrived through an invitation link. We do not use advertising or tracking cookies.
09Changes to this policy
If we change this policy in a way that affects you, we will tell you by email or in the app before the change takes effect. The date below always shows the current version.
